Convocation

Convocation is the official ceremony that celebrates the successful completion of your academic journey at IIMS College. It marks a proud milestone where graduates are formally recognized for their dedication, perseverance, and academic achievements throughout their years of study. The ceremony brings together graduates, faculty members, families, and the wider IIMS community to celebrate this special accomplishment and the beginning of a new chapter in the lives of our graduates.

This section provides all the essential information to help you prepare for the Convocation Ceremony, including the registration process, academic robe collection, ceremony schedule, guest arrangements, and certificate collection. Graduates are encouraged to carefully review the guidelines and important updates to ensure a smooth and memorable convocation experience as you celebrate this important milestone with pride and joy.

BEFORE YOUR CONVOCATION

An invitation to register for the convocation will be sent to your Taylor’s student email and personal email account (as recorded in our student database), approximately three (3) months prior to your convocation. This email will include:

  • 1. The exact date of your ceremony
  • 2. Registration instructions with payment details
  • 3. Information on academic robe collection
  • 4. Important deadlines and next steps

Note: Be sure to check your Taylor’s email and personal email regularly and keep your contact details up to date.

Approximately one month prior to the convocation ceremony, eligible graduates will receive an official invitation to register for the event. This invitation will be sent to both your student email address and personal email account as recorded in the college’s student database.

The invitation email will include important details to help you complete your registration and prepare for the ceremony, including:

  1. The exact date and schedule of your convocation ceremony
  2. Step-by-step registration instructions along with payment details
  3. Information regarding academic robe collection.
  4. Important deadlines and further instructions for graduates.

Note: Graduates are advised to regularly check both their college email and personal email to ensure they do not miss any important communication. Please also make sure that your contact details in the student database are up to date to receive all convocation-related updates.

  1. Register and Pay for the Ceremony

Graduates who wish to attend the Convocation Ceremony must complete the registration form shared by the college within the stipulated deadline. Registration is only confirmed once the form has been properly submitted as instructed.

Graduates who do not register within the deadline will be considered as graduating in absentia, meaning they will not attend the ceremony and no convocation fee will be charged. Please note that graduates recorded as in-absentia will not be allowed to register or attend the convocation for the same programme in the future.

  1. Invite your Guest

Upon successful registration, each graduate is entitled to one (1) complimentary guest ticket. Additionally, graduates may add up to two (2) additional guests during the registration process.

The Student Pass and Guest Passes can be collected from the college premises once further details and collection information are shared through your official college email.

  1. Check and Clear your Dues (if any)
    Graduates must settle all outstanding payments with the college before the given deadline to be eligible to participate in the Convocation Ceremony.
  2. Wait for Next Email
    Approximately two (2) weeks before the convocation, you will receive an email with detailed information about the ceremony time, schedule, and important guidelines to help you prepare for the event.
  3. Arrive Early on the Day
    Make sure to allow plenty of time to collect your academic attire, find your seat, and fully enjoy the special moment of your convocation.

  1. Complete the Graduate Tracer Study Survey: The Graduate Tracer Study Survey is an annual survey designed to track the status of graduates after completing their studies.  Graduates are requested to complete the survey within one week of receiving the form, before the day of the convocation.

Please note: Completion of the Tracer Study Survey is mandatory to be eligible for certificate collection.

  1. Registration of Alumni Account: Graduates are encouraged to register through the Alumni Form shared by the college.

All graduates who activate and register in the Alumni Form will be added to the college alumni network and invited to future Alumni Meet programs, as well as any other opportunities for collaboration that may arise.

We understand that sometimes life can get in the way.  If you are unable to attend your upcoming convocation ceremony, you have the option to defer your attendance to the next scheduled convocation.

Email convocation@iimscollege.edu.np with valid reasons and any supporting documents by the deadline mentioned in the convocation email.  All deferment requests are subject to approval.

  1. Confirmation

You will receive a confirmation email within three (3) working days.  Once approved, your name will be added to the invite list for the next scheduled convocation.

  1. Things to Note:

You can only defer your convocation attendance once.  If you miss the next ceremony, you will be considered to be graduating in absentia.

Please note: your degree will still be officially conferred on the original conferral date, even if you defer your attendance, and your name will appear in the convocation booklet of your actual graduating cohort.

ON YOUR DAY OF CONVOCATION

On your convocation day, please arrive early to register and collect your academic robe. Remember to bring your Citizenship or IIMS Student ID Card. You will receive your academic robe immediately after registration. If you wish to rent the robe for up to one (1) week after the convocation, you can make arrangements with our Robing Agent, Ede & Ravenscroft, after completing the required payment. All graduates are required to adhere to the smart dress code specified below. Failure to comply may result in denial of entry to the convocation ceremony. Before entering the hall, you must be dressed in the academic robes provided by IIMS College.

The convocation ceremony will be live-streamed and recorded for your keepsake. The live-stream link will be sent to your IIMS College email at least one (1) week before the convocation, and the link to download the recorded ceremony will be shared approximately two (2) weeks after the event.

Portrait studio photography will be available for graduates and their family members who wish to purchase a photography package at their own cost. No prior reservation or appointment is required, and services will be provided on a first-come, first-served basis.

An official photographer and videographer will capture stage photographs of each graduand and record the entire ceremony. Audience members may take photos from their seats but must not move around the hall during the ceremony.

The robe and photography agent, Ede & Ravenscroft, will courier your stage photographs and any studio photography package to the address provided during online registration, approximately two (2) weeks after the convocation.

All graduates must return their convocation robe immediately after the ceremony and before leaving the venue.

Graduates who have opted to take the robe for photoshoots must pay the required refundable deposit and return the robe within one (1) week after the convocation.

Frequently Asked Questions

The convocation ceremony is usually held twice a year at the venue assigned by the college. Graduates will receive at least one (1) month’s prior notice regarding the exact date and venue of the event.

The convocation invitation and registration information will be sent to your IIMS College email and personal email as per the college’s student records. Graduates must submit their registration by the stipulated deadline. Please note that late registrations will not be accepted unless accompanied by a valid reason.

Yes, a convocation fee is required to cover the cost of academic gown hire (on the day of convocation), stage photography, convocation video, and one (1) guest ticket. Payment instructions will be provided in the Registration Form.

No fee will be charged if you choose not to attend the ceremony and graduate in absentia.

Complete the online registration and make the payment through the portal as instructed. For more details, you may refer to the instructions in the graduation email invitation. Payment can be made online, by bank transfer or cash.

To request a deferment, email convocation@iimscollege.edu.np with valid reasons and any supporting documents by the deadline mentioned in the convocation email. All deferment requests are subject to approval.

You will receive an email from convocations@iimscollege.edu.np approximately ten (10) days before the convocation. This email will include details on how to collect your graduate and guest passes.

Up to two additional guest tickets may be available for purchase on a first-come, first-served basis. Graduates can add the names of additional guests during the registration process and make the necessary payment to secure the bookings.

For male graduates, suggested attire includes a suit, long-sleeved shirt with a tie, traditional costume, and formal shoes. T-shirts, tank tops, denim, and sandals or slippers are strictly discouraged.

For female graduates, appropriate attire includes a shirt or blouse paired with a knee-length skirt, a knee-length dress, traditional costume, and formal shoes (stilettos and strappy heels are not encouraged for safety reasons). T-shirts, spaghetti-strap or revealing tops, denim, and sandals or slippers are not allowed.

It is also recommended to wear an outfit with front buttons to help secure the academic hood, as it may otherwise slide off the shoulders.
