Routine Timetable & Examination Officer – BCS

Basic Job Information

Objectives : To centralize the planning and formulation of timetabling provision for all college programme
: To maximize the usage of available resources to ensure smooth day-to-day operations
Key Responsibilities : Responsible for the producing teaching and exam timetable each semester and making sure they fit with the overall college’s academic calendar and study plans.
: Be the first point of contact for all space bookings across the college
: Work in continuous collaboration with college departments to organize timetable planning meetings, understand the teaching needs and gather course information before the key session planning cycles.
: Allocate available rooms, space and resources appropriately and efficiently for exams period, teaching and non-teaching activities, events and all other internal ad hoc bookings as required
: Ensure that all schedules and changes in allocations are clearly communicated to the College community through appropriate mechanisms.
: Collect and collate timetable data, then input, analyze and manipulate to achieve desired results in collaboration with schools/departments.
: Monitor daily teaching activities to ensure that it is in accordance with prepared timetable and allocations.
: Report weekly on progress and issues, undertake a proactive role in resolving timetabling issues and conflicting space requirements to maximize space utilization.
: Manage and negotiate space effectively to optimize usage across the college’s academic programme
: Develop timetabling manual/curriculum, Identify extra/specific requirements, for allocated course/modules, programmes and departments as determined by program teams/departments
: Assist with space audit requirements, forecast future space and resource requirements
: Contribute towards the training of temporary staff as required and Assist in marketing activities and special events
: Any other responsibilities as directed by the Academic staff, CEO or any other Department Heads

Technical Requirements

  • Excellent communication skills
  • Excellent data manipulation, retrieval and analysis skills
  • Working knowledge of timetabling and scheduling in higher education sectors
  • Literate in computer and Microsoft office packages
  • Be able to plan, prioritize and work independently
  • Ability to solve problems, make good judgements and make appropriate decisions.
